SERVICE COORDINATOR

  • Immediate Supervisor: Service Manager
  • Employee Status: Exempt Employee
  • Salary payable bi-weekly via direct deposit.
  • On-Call:  You will be scheduled to work an on-call rotation as scheduled by the Service Manager – You will receive an additional $100.00 per week when you are on-call.
  • Preventive Maintenance (PM) Contracts:  You will be responsible for the administration of the Residential and Commercial PM Contracts. You will track the retention, loss, and PM visits for our contract holders.
  • PM Contracts Incentive: You will receive an incentive for each PM Agreements you offer to and sell to our clients. The amount of the incentives are outlined in our Employee Incentive Plan.
  • Bonus Incentives: You will be eligible for discretionary bonuses, incentives, and commission, as outlined in our current and future policies and procedures.
  • You will receive a 90-day review. The review will be performed as close as logistically possible to your 90-day anniversary. After that, you will be reviewed on an annual basis.

  • You must demonstrate proficient use of Microsoft Excel and Word.
  • Responsibilities: You will be responsible for providing a high level of ethical customer service to our clients while scheduling service and repairs for residential, commercial, and light industrial HVAC systems. You will get and update customer Bill To and Site information for our software system. You will review service invoicing and payments for work performed in accordance with existing company policies and procedures. You will assign, dispatch, monitor and ensure all work orders are closed with appropriate supporting documentation in a timely manner.
  • You will Supervise the Assistant Service Coordinator – You will be responsible for providing training and coaching, as needed – You will monitor his/her work product and hold him/her accountable for his/her assigned duties.
  • Appearance: You will maintain a clean, neat, and professional appearance.
  • Administrative Responsibilities: You will be responsible for performing various administrative duties to assist our team. You will develop and maintain reports for items assigned by the Service Manager, Operations Manager, and/or Owner.
  • You will be cross trained for other office positions.

HVAC SERVICE TECHNICIAN JOB DESCRIPTION

  • Immediate Supervisor: Service Manager
  • You will receive a 90-day review. The review will be performed as close as logistically possible to your 90-day anniversary.
  • You will receive a performance evaluation annually, or as needed, after the initial 90-day review.
  • Eligible for over time, bonuses, incentives, and commission, as outlined in our current and future programs and/or procedures.

  • Responsible for providing a high level of ethical customer service to our clients while performing diagnosis, service, and repairs for residential, commercial, and light industrial HVAC systems.
  • Adherence to safety protocols, policies, and procedures. Maintain a safe working environment at the job site(s). Ensure teammates do the same.
  • Demonstrate excellent customer service and communication skills (both written and oral).
  • You will get signed authorization prior to performing any work not previously approved by the customer.
  • You will perform invoicing and collect payments for work performed in accordance with existing company policies and procedures.
  • You will get the invoice signed for work completed after the job site is cleaned and prior to leaving the job site.
  • You will provide repair versus replace options to our customers/clients for equipment older than 10 years (or when significant repairs are needed).
  • Provide sales leads to our Comfort Consultants when customers/clients want an option for equipment replacement. Sales leads will include pictures, call notes, and any pertinent information discussed with the customer/client.
  • Refer to the Comfort Consultant Sales Lead Outline (to be provided) for proper handling of residential sales leads.
  • Ability to perform service and repairs in all types of weather conditions.
  • Work an on-call rotation as scheduled by the Service Manager.
  • Demonstrate familiarity with different types of residential, commercial, and light industrial HVAC equipment.
  • Ability to read and interpret wiring diagrams and blueprints.
  • Demonstrate efficient and effective problem-solving skills.
  • Attend training as assigned. This may include in-person, virtual and/or vendor provided training.
  • Participate in safety training and adhere to all safety policies and/or procedures.
  • Ability to handle a physical workload of at least 50 pounds on a repetitive basis.
  • Ability to climb ladders up to a 40-foot extension ladder, and work while on them in a safe manner.
  • Ability to operate and work from scissor lifts and/or genie lifts in a safe manner.
  • Maintain a clean, neat, and professional appearance.
  • Company Vehicle: You will be provided with a company vehicle for use as a service van. You will be responsible for maintaining the vehicle in a clean and neat manner. There is no smoking in Company vehicles.
  • Work product will be clean, neat, and professional. All work will comply with code requirements.
  • Follow the direction of management and ask questions to get clarification for any service procedures you are not familiar with.
  • Company Vehicle: You will be driving a company vehicle as needed. You will operate any Company vehicle in a safe and responsible manner. You will be responsible for maintaining the vehicle in a clean and neat manner while you are using it. There is no smoking in Company vehicles.
  • You will also be responsible for maintaining an insurable driving record. You are to report any motor vehicle accidents and/or violations to the Operations Manager as soon as possible after the occurrence. This applies to occurrences that happen anytime, not just during working hours.
  • Normal working hours are 7:30 am to 4:00 pm. Monday through Friday.
  • Must be available for overtime from time to time, including weekends, especially during the spring/summer seasons.
  • No vacation or personal days off, except with prior approval or for emergency situations, can be taken from May 31st through August 31st each year.
  • Must obtain and maintain any required licenses and or certifications required for HVAC Service Technicians.
  • EPA 608 Certification, for the handling of refrigerants, is required.

  • Checking in with the Office - This gets done by you if you are working with a sub-contractor. These emails get sent regardless of any conversations with Steven, so the office knows what is going on and how they may need to adjust the Install Schedule.
    1. These emails, and any other emails regarding installations, get sent to specified office personnel – You can create an email group on your phone to make this easier.
    2. 1st Check-In: Send email immediately after lunch describing how the job is progressing, what has been done, if there are any obstacles preventing you from completing the job, what should be done by end of day, what is projected to be remaining to complete job, etc.
    3. 2nd Check-In: Send email at end of day (no later than 3:45 pm) describing what was done that day, whether the job has been completed, and what still needs to be done (if job has not been completed).
  • Company Vehicle: You will be driving a company vehicle as needed. You will operate any Company vehicle in a safe and responsible manner. You will be responsible for maintaining the vehicle in a clean and neat manner while you are using it. There is no smoking in Company vehicles.
